Guidance Notes on the

BRITISH HORSE PASSPORT

Thank you for your interest in our British Horse Passport and we are pleased to enclose the registration forms you requested  together with one or two notes which we hope will be of assistance.

You will be aware that, because of new European legislation, all equines are required by law to have a passport by 28th February 2005.  These passports have to comply with DEFRA requirements. 

The passport must sent to the Society for the transfer at each change of ownership with the current transfer fee and returned on the death of the horse (£15 as at 26/1/06)

Cheques for the initial registration fee and for transfer fees should be made payable to "The Cleveland Bay Horse Society"

A declaration as to whether the horse is or in not intended for slaughter for human consumption is included in the passport but this does not have to be completed until any of the following:- 1) the horse is exported 2) the horse is administered with a  medicine which should never be administered to a food producing animal 3) the horse is consigned for human consumption.

Ø      The Identity Chart should be completed by a vet however if you already have a vaccination certificate where the ID has been completed by a vet then this will suffice (we are obliged to warn you that, as these vaccination certificate charts are not in 2 languages, the passport may not be acceptable in other EC countries).  Just enclose the certificate with the application; we will copy the ID and clamp your certificate into the passport.

Ø      The photograph is entirely voluntary and incurs a charge of an extra £5

Ø      If any breeding is quoted the passport will be stamped “Breeding Not Verified” unless you have proof of that breeding

Ø      If you do not know the date of birth then put in an approximate year of foaling

Ø      One horse, one passport.  If the animal already has any sort of registration/identification document these, or copies must be included with the application.

Ø      If the animal is already registered with a Breed Society then you should first apply to that Society.  If that Society cannot/will not issue a passport or if you do not want to deal with that Society then we can issue a Section 9 but you must include the Breed registration documents or copies of them with your application

The current fee for a British Horse Passport is £20.  Concessions for multiple applications

PASSPORTS FOR HORSES WHICH ARE ALREADY REGISTERED WITH THE CLEVELAND BAY HORSE SOCIETY.

If you have a pure or part bred Cleveland Bay which is already registered with this Society no forms are needed to obtain a passport but you need to apply as follows:

1          IF YOU HAVE THE OLD STYLE CARD PEDIGREE CERTIFICATE

Check that the ownership has been transferred into your name through the Society (the transfer boxes are on the back of the certificate and should have been signed by the Secretary)

 If the ownership has not been transferred an additional transfer fee of £10 will be due and the previous owner should have signed the transfer box; if not a copy of a receipt will suffice.

Check that the ID chart has been completed by a vet.  If not you will need to contact us to supply an ID chart  for your vet to complete unless you have a flu vaccination certificate completed by a vet in which case if you enclose it we will copy it and then clamp it in to the passport.

 We are obliged to warn you that any ID chart which does not have the parts of the horse named in French as well as English technically does not comply.  DEFRA has stated that unless the horse is likely to go to other EU countries this should not be a problem but if you want to adhere precisely to the rules a new chart should be completed.

Send the certificate to us with the fee £19 (or £10 if you are a fully paid up member of the Society) together with any transfer fees due.

We will replace the certificate with a passport

2          IF YOU HAVE THE NEW STYLE PASSPORT WITH COLOURED PLASTIC COVER AND METAL SPINE

Check that the ownership has been transferred into your name through the Society (the transfer boxes are on the 5th page and should have been signed by the Secretary) 

If the ownership has not been transferred an additional transfer fee of £10 will be due and the previous owner should have  signed the transfer box; if not a copy of a receipt will suffice. 

Send the passport to us with the fee £5 together with any transfer fees due.
